License Bids Inc. ("License Bids," "we," "us," or "our") operates the LicenseBids platform at licensebids.com. This Privacy Policy explains how we collect, use, share, and protect your information when you use our marketplace.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and the role you select (customer or cloud partner). Authentication is managed by our identity provider, Clerk, which processes your sign-in credentials.
Company and Licensing Information
Customers provide company details (name, size, industry) and cloud licensing requirements through Requests for Quotation (RFQs), including product names, license quantities, current spend estimates, and renewal timelines. Cloud partners provide company profiles, certifications, and service capabilities.
Uploaded Documents
Customers may upload bill of materials (BOM) files and supporting documents as part of their RFQ submissions. These files are stored securely in Cloudflare R2 object storage.
Payment Information
Payment processing is handled by Stripe. We do not store credit card numbers or full payment details on our servers. Stripe's privacy practices are governed by their own privacy policy.
Usage Data
We collect standard server logs including IP addresses, browser type, pages visited, and timestamps to maintain platform security and performance.
2. How We Use Your Information
- Facilitating anonymous bidding — We share your RFQ details (licensing requirements, quantities, timelines) with cloud partners so they can submit competitive bids. Your identity and company name are not revealed to partners during the bidding process.
- Matching with cloud partners — When you select a winning bid, we facilitate introductions between you and the partner, sharing contact information only at that point.
- Platform operations — Account management, customer support, transactional emails (bid notifications, RFQ confirmations, partner introductions), and membership billing.
- Platform improvement — Aggregated, anonymized usage data to improve the marketplace experience.
3. Data Sharing
We share your information only in these circumstances:
- Anonymous RFQ sharing — Your licensing requirements are shared with cloud partners on the marketplace, but your identity remains hidden until you choose to reveal it by selecting a winning bid.
- Partner introductions — When you award a bid, we share your contact details with the selected partner (and vice versa) to facilitate the engagement.
- Service providers — We use third-party services to operate the platform (see Section 7). These providers process data on our behalf under contractual obligations.
- Legal requirements — We may disclose information if required by law, court order, or governmental authority.
We do not sell your personal information to third parties. We do not share your data with advertisers.
4. Data Storage and Security
- Database — User accounts, RFQs, bids, and deal records are stored in a Neon PostgreSQL database with encryption at rest and in transit (TLS/SSL).
- Document storage — Uploaded files are stored in Cloudflare R2 with access controls limiting retrieval to authorized users.
- Authentication — User authentication is managed by Clerk, which handles password hashing, session management, and multi-factor authentication.
- Transmission — All data transmitted between your browser and our servers is encrypted using HTTPS/TLS.
5. Cookies and Tracking
License Bids uses cookies strictly for platform functionality:
- Session cookies — Set by Clerk to maintain your authenticated session. These are essential for the platform to function.
- No third-party ad tracking — We do not use advertising cookies, retargeting pixels, or third-party analytics trackers.
6. SMS and Text Messaging
System administrators of LicenseBids receive automated platform notifications via SMS as part of platform operations. These messages are operational alerts sent to verified administrators only. We will never contact partners or customers via text messaging or SMS.
7. Data Retention and Deletion
We retain your account data and associated RFQs, bids, and deal records for as long as your account is active. If you wish to delete your account and associated data, contact us at privacy@licensebids.com. We will process deletion requests within 30 days, subject to any legal retention obligations.
Anonymized, aggregated data that cannot identify you may be retained indefinitely for platform analytics.
8. Third-Party Services
License Bids uses the following third-party services to operate the platform:
- Clerk — Authentication and user management
- Stripe — Payment processing and subscription billing
- Resend — Transactional email delivery
- Cloudflare R2 — Document and file storage
- Neon — PostgreSQL database hosting
- Vercel — Application hosting and deployment
Each service has its own privacy policy governing how it processes data. We recommend reviewing their policies if you have specific concerns.
9. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and data
- Export your data in a portable format

10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify registered users via email. Continued use of the platform after changes constitutes acceptance of the updated policy.
